Job Title: Office Secretary
*Must be mobile - Will be required to regularly accompany or meet with the Executive Team in any of the Company’s offices located in Makati, BGC, Greenhills and Pasig.
I. Job Summary
The successful candidate will be responsible for coordination and management of various administrative activities. He/she will work within general methods and procedures and exercises considerable independent judgment to select proper courses of action. The work requires knowledge of the policies, procedures, regulation of administrative and departmental programs, supervisory techniques, personnel policies and procedures. He/she will supervise all of the administrative aspects of the Company.
II. Main Duties and Responsibilities:
• Responsible for overseeing facilities, procurement, inventory control.
• Procurement, communication and coordination with vendors.
• Oversee the maintenance support services team ensuring cleanliness and organization in all departments; ensure that all equipment, lights, air conditioners, are properly maintained and in good working condition.
• Ensure operations run smoothly within companies and departments such as information and data processing, mail, materials scheduling and distribution, printing and reproduction, records management, telecommunications management, security, recycling, and wellness.
• Plan long and short-term maintenance needs.
• Coordinates and schedules events, conferences, meetings, travel, conference rooms, luncheons, etc.
• Prepares basic sales and expense reports.
• Organize and maintain file and records routing mail and requesting supplies in the office.
• Maintain the security of confidential information.
• Maintaining business/customer contact database, corporate files and business plans.
• Composing, designing and editing correspondence and reports.
• Interacting with customers, senior-level executives, and all other levels of employees.
• Prepare correspondence; communicate extensively utilizing a variety of technology including telephone, electronic mail and chat.
• Manage and maintain Executive schedules (update and synchronize calendar).
• Manages multiple projects simultaneously and follow through on issues in a timely manner.
• Manage maintenance crew ensuring that office is clean and organized.
• Procurement, communication and coordination with vendors.
• Ensure contracts, insurance requirements, and government regulations and safety standards are followed properly.
• Examine energy consumption patterns, technology usage, and personal property needs.
• Oversee the preparation, analysis, negotiation, and review of contracts related to the purchase or sale of equipment, materials, supplies, products, or services.
• Handle the acquisition, distribution, and storage of equipment and supplies.
• Develop energy efficiency procedures.
• Develop emergency preparedness procedures.
• Plan workspaces.
• Oversee renovation projects.
• Monitor facilities for security.
• Perform ad-hoc tasks.
III. Job Requirements:
• Male/Female
• College Graduate of any business course or related course.
• Computer Literate and Knowledgeable in MS Applications (MS Word, Excel, PowerPoint etc.).
• Has at least 2-3 years related working experience.
• With Organizational and Interpersonal skills.
• Must be Creative, Resourceful, Keen to Details, Results-oriented and Enthusiastic.
• Must be mobile (will be accompanying or meeting with the Executive Team in the Company’s offices located in Makati, BGC, Greenhills and Pasig.)
