Job Title: HR Generalist (Supervisor)
I. Job Summary:
The HR Generalist is responsible for performing HR related duties on a professional level and works closely with and supports HR management. This position carries out responsibilities in the following functional areas: recruitment/employment, onboarding, benefits administration, employee relations, training, performance management, policy implementation, timekeeping, leave management and other human resource programs.
II. Duties and Responsibilities
General HR
1. Administers various human resource plans and procedures for all company personnel.
2. Assists in the development and implementation of personnel policies and procedures, employee handbook and Company Code of Conduct.
3. Participates in developing department goals and objectives.
4. Assist employees with their concerns, provide advice and address it to the Management.
5. Monitors the performance evaluation program and make revisions as necessary.
6. Develops human resources solutions by collecting and analyzing information; recommending courses of action.
7. Improves manager and employee performance by identifying and clarifying problems; evaluating potential solutions; implementing selected solution; coaching and counseling managers and employees.
8. Assists in evaluation of reports, decisions and results of department in relation to established goals.
9. Recommends new approaches, policies and procedures to effect continual improvements in efficiency of the department and services performed.
10. Enhances department and organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
11. Completes special projects by clarifying project objective; setting timetables and schedules; conducting research; developing and organizing information; fulfilling transactions
12. Protects organizations value by keeping information confidential.
13. Participates in administrative staff meetings and attends other meetings and seminars.
14. Performs other related duties as required and assigned.
Recruitment
1. Conducts recruitment effort, including but not limited to screening and testing of applicants.
2. Administers and evaluates tests, endorses applicants to requisitioning department for further screening.
3. Prepares and discuss job offer and employment contract.
4. Schedules newly hired employees for employment contract signing.
5. Furnishes appointment papers, personnel action notices, employee’s copy of company code of conduct, ID, and job description.
6. Prepares End of Contract Memo for employees if found to be performing below expectation.
7. Ensures confidentiality, organization, maintenance, acceptance, distribution and release of personnel records, documentation and information particularly those of highly sensitive and confidential nature.
8. Assist employees with their concerns, provide advice and address it to the management.
9. Conducts exit interviews to ensure proper information is captured, recorded, and is available for analysis.
10. Prepares and distributes PIE forms to all department heads and Team Leaders.
11. Performs other Recruitment duties that may be assigned from time to time.
HRIS and Compensation & Benefits
1. Responsible for the preparation of timekeeping summary, ensures accurate timekeeping through checking of biometrics records, leave forms, overtime requests and OB forms.
2. Responsible for statutory and company sponsored benefits administration and monitoring.
3. In-charge of ensuring company compliance to all legally mandated benefits including service incentive leave, overtime and holiday pay, SSS, Philhealth, HDMF, 13th month pay, retirement benefit.
4. Administers and monitors other company sponsored benefits including earned leave incentives, etc.
5. In-charge of filing, endorsement, monitoring and completion of all pertinent SSS, PhilHealth, HDMF and insurance records: including but not limited to enrolment, application, change of data, remittances, loan summaries, etc.
6. Manage and maintain the HR Information System
6.1 Encoding of new employees in the system
6.2 Updating personal records/data of employees
7. Processing of clearance, terminal pay, Quitclaim, and Certificate of Employment for separated employees, in coordination with the Finance Department.
8. Keeps the Management updated with information and newest circulars pertaining to SSS, Philhealth, and HDMF.
9. Coordination with all departments to ensure updated information is properly disseminated to all employees.
10. Presides in seminars, meetings and other programs related to compensation, statutory and company sponsored benefits, initiated by the Company as required by the Managing Director.
Training
1. Identifying training and development needs within an organization through job analysis, appraisal schemes and regular consultation with Supervisors and Managers.
2. Designing and expanding training and development programs based on the needs of the organization and the individual.
3. Considering the costs of planned programs and keeping within budgets; and assessing the return on investment of any training or development program.
4. Conducting post-training appraisals.
5. Preparing training materials for in-house courses.
6. Managing the delivery and execution of training and development programs.
7. Monitoring and reviewing the progress of trainees through questionnaires and discussions with managers.
8. Amending and revising programs as necessary, in order to adapt to changes occurring in the work environment.
9. Helping supervisors and managers solve specific training problems, either on a one-to-one basis or in groups.
10. Keeping up to date with developments in training by reading relevant journals, going to meetings and attending relevant courses.
11. Having an understanding of e-learning techniques, and where relevant, being involved in the creation and/or delivery of e-learning packages.
12. Researching new technologies and methodologies in workplace learning and presenting this research.
Employee Relations
1. Provide assistance as needed by the ER Specialist in drafting, investigation, counseling, issuance and implementation of memoranda.
III. Job Requirements:
a. Education
• Requires a Bachelor’s Degree of any Psychology, Administration or any business course.
b. Experience
• With at least 2-3 years’ work experience as an HR Generalist and 1 year leadership experience.
c. Knowledge/Skills/Abilities
• Must be Creative, Resourceful, Keen to Details, Results-oriented and Enthusiastic.
• Effective verbal and written communication skills, ability to write clear and concise reports
• Strong leadership skills and people management skills
• Knowledgeable in Tracking Budget Expense, Quality Management, Managing Process, and Promoting Process Improvement.
• Proficient in Microsoft Office applications – Word, Excel & PowerPoint
• Willing to work in Mandaluyong City.
• Working Days: Monday to Saturday - 9am to 6pm
